SCHOA Board Meeting Minutes

September 16, 2025

I. Attendance

II. Community Report

Frank — report was given about community needs.

III. Approval of Prior Minutes

Minutes of the August meeting accepted unanimously.

IV. Reports of Officers

A. President

Thank you note was received from the Bachmann family. Code of Ethics has been updated.

B. Vice President

TOB is in the process of writing a letter to the Board and Management Company regarding garbage disposal; charges will be on the January 2026 tax bill. The town will send out a schedule regarding garbage.

C. Treasurer

Have had issues with the IRS for the past year and a half; verbal confirmation was made that all has been corrected. Awaiting a formal letter to confirm all is resolved.

D. Secretary

No report.

V. Management Report

Reviewed and accepted, including financials, notices before liens, modification requests, house rule violations and warnings, home sales, Cohen and Warren report.

VI. Committees

A. Architecture

Ongoing; photos to be taken before and after modifications occur to document changes.

B. Maintenance

Driveway lists reviewed; houses of priority will be completed.

C. Recreation

Yard sale and movie night planned for the community.

D. Pool

Met with Big Splash. A meeting will be held in the spring with all pool attendants to address the pool rules.

VII. Clubhouse Rentals

  • November 1st — Sharlene
  • November 2nd — Karen
  • November 29th — Jenn K.

VIII. Projects to be Scheduled in 2025

  • Concrete — list will be reviewed
  • Seal Coating — completed
  • Basketball Courts — completed
  • Basketball Nets/Posts — on order
  • Driveway Replacement — completed
  • Clubhouse Parking Lot — will be completed on dates given
  • Anderson’s Tree in the Fall — will be completed on dates given

IX. New Business

  • HOA communication on Facebook — Jenn K. can provide Management Company posts to the community as the FB page is not a reflection of the Board.
  • Vacant Board seat(s) — letter will be sent to the community regarding the 2 open board seats.
  • Gym Use Age — the age to access the gym will be lowered to 16; new signs will be ordered to signify the changes.
  • Letter to Community — will be changed to a newsletter provided quarterly; will be reviewed at the October meeting.
  • HOA Website — glitches need to be worked out as there are issues with seeing work orders and providing key fobs.
